Terms & Conditions
FACILITIES & SPACE CHARGES:
A. AUCTION HALL – (Ground Floor performance space- circa 175 sqm): Capacity 150 to 200 persons. £65/ hour, Monday to Thursday and £75/hour Friday to Sunday. This includes the small ‘Green Room’ at the rear of the stage, toilets, use of the Hallway and some equipment – see attached schedule. Note: these rates are Charities or Not for Profit organisations only. Business or private hires are subject to higher charges. Please contact us with your enquiry. For day time use hires from 09.00 to 17.30 there is often a negotiated discount. All charges are subject to VAT.
B. BAR ANNEXE – ( Bar space used with or without the fitted Bar serving area – circa 50 sqm). No charge for this space hire when use in conjunction with the Auction Hall. If bar service is required there is a MINIMUM guaranteed bar spend required of £100. The Bar will be staffed by AC staff.
Charge for the Bar Annexe only without the Auction Hall or bar service is £30/ hour.
C. EX ‘RESTAURANT’ AREA - (Lower Ground Floor smaller space circa 135 sqm) including its own small BAR AREA: Capacity 70 to 100 persons. £50/ hour Monday to Thursday. £60/hour Friday to Sunday, for Charity or NFP hirers. Other hirers please contact the Africa Centre for arrangments.
D. EQUIPMENT AND SUNDRIES: Hire charges for technical equipment and furniture other than chairs are shown on the Schedule available from the Africa Centre.
PLEASE NOTE: Booking fees for Xmas Eve, Boxing Day, New Year’s Eve 2012 and New Year’s day 2013 will be £150 / hour. The equipment hire rates will remain the same.
Fees for all other dates will be as the current booking form for NFP/CHARITIES only. Between 17/12/12 and 01/01/13, rates for private and corporate hires will be negotiated – please contact firstname.lastname@example.org. If you are considering an event finishing later than 23.00 it will need an extended licence ( temporary event notice) which we can apply for on your behalf but we cannot guarantee that you will get the extended time you prefer. The charge is £50.00 and we would need 3 weeks notice to do this.
The AC will be closed from 27/12/12 to 30/12/12 incl and 02/01/13 to 07/01/13 incl except for extraordinary bookings. The Comedy Club in the Basement may continue, please contact the Top Secret Comedy Club.
WHAT THE SPACE HIRE CHARGES INCLUDE
a) Use of a Licenced Premises. NOTE the AC standard licence hours for entertainment, dancing, music and SALE AND CONSUMPTION OF alcoholic beverages is Monday-Saturday (10am – 11pm) and Sunday (12pm -10.30pm). A limited number of temporary event notices (extended licences) for later hours can be applied for in any one year at an extra charge of £50.00/ event . PLEASE NOTE that we require a minimum of 3 weeks notice to make the application to Westminster Council. Extended licences come with extra Police and Council conditions which hirers will need to respect.
b) Heating, lighting and electrical power. The AC has 3 phase power in the Auction Hall and has sound desk cabling connections to both ends of the Auction Hall.
c) Audience chairs and other miscellaneous furniture.
d) Use of the Green room adjacent to the Auction Hall.
e) Toilets and other amenities.
f) Listing on the AC website and or email flyers, if required.
g) Normal cleaning
WHAT THE SPACE HIRE CHARGES DO NOT COVER BUT CAN BE SUPPLIED:
a) Theatre lighting. – this can be hired for a small charge
b) Projection equipment & large format cinema screen – this can be hired for a small charge
c) PA system, mixer desk, microphones and CD player – these can be hired for a small charge
d) Box office function. – this can be arranged for a small charge using Eventbrite.com and payment via Paypal
e) Bar, Front of House, Serving ( waitering), Technical and Supervisory staff (stewards) – these can be supplied for an extra charge
f) Marketing – flyers, tickets, promotion, etc
g) African or other Catering- this can be arranged for an extra charge
h) Other Technical equipment not specified above.
i) Insurances – the hirer must carry their own current Public Liability , Indemnity and Contents Insurance.
j) Special cleaning if required after your event.
NOTE: The services excluded above can be supplied by the Africa Centre, if sufficient notice is given. The extra costs of these will be added to invoices.
